Description Assistant Manager

The Assistant Manager must be a high performing individual who is passionate about health, fitness and mindfulness,   ideally with previous management experience.
He/she must be responsible for providing exceptional customer service to our guests by personal contact when they arrive at the studio, by email/phone on a daily basis , while assisting them in membership questions, and merchandise purchases. This position will be primarily responsible for managing day to day Pilates classes calendar, scheduling instructors, managing booking system, creating client proposals, looking for new customers, billing vendors. Must be able to convey and enforce policies while still maintaining poise and a positive demeanor.

The Assistant Manager position will also be responsible for Lead generation including Grass Roots Marketing and Networking, implement sales process to schedule prospects into Demo class and should strive to increase Membership sales.

Daily Procedures
  • Greet all members and guest entering and leaving the studio with a pleasant demeanor.
  • Answer any questions, providing information about the studio, class schedule, instructors and trainers, etc.
  • Drive retail sales
  • Independently make decisions related to high level customer service
  • Oversee cash and Mind body system management
  • Schedule appointments with customers; maintaining installation calendar through Mind Body
  • Manage staff schedule. Coordinate instructors subs on their vacation, illness or days off according to our needs
  • Receive and process membership and service payments
  • Be able to design studio promotions, discounts, and/or special events to be further discussed with the Directors.
  • Strategically manage marketing campaigns to generate leads for the studio and enforce best practices to sustain member’s relationships and services.
  • Help with the management of the Social Media according to the principles of the Brand Guide and Communications Strategy marketing actions (videos, photos, emails, website updates, newsletter, events, promotions, etc) 
  • Assist with basic Graphic Design projects , if needed.
  • Update and maintain the marketing  documentation and client’s databases.
  • Manage events, booking venues and ordering marketing materials after being discussed and approved by the Directors.
  • Directly coordinate with all vendors, ensuring that studio supplies, retail/products are stocked with accurate inventory counts.
  • Make orders for supplies needed in the studio
  • Maintains cleanliness of the studio area, and manage the maintenance personnel required weekly.
  • Be responsible for the correct maintenance of the equipments of the studio
  • General office work (filing, scanning, corresponding with clients, organizing, mailings, etc.) Check the mail frequently. Send invoices to Director to be paid. Check the company’s email to answer any message
  • Coordinate weekly the aerial silk classes for the week.
  • Send periodically the information asked by the accountant for taxes purposes (inventory, bank statements, etc).
  • Creation, revision, editing, proofing of Invoices, reports and spreadsheets.
  • Any other duties as assigned
Compensation: $22/hr
Employment type: Part-time (30 hours/week) from 8am - 2pm / Monday - Friday


Front Desk Responsibilities:


Marketing Responsibilities
  • Contribute with agency on all ongoing campaigns
  • Contribute with internal marketing efforts
  • Organize special events
  • Follow up with leads resulting from various campaigns
  • Contribute with social media posting daily stories
Administrative Responsibilities
  • Prepare bimonthly reports to Directors
  • Monthly Inventory Report
  • Monthly expenses Report
  • Buy studio, office and cleaning supplies
General Responsibilities
  • Coordinate instructors schedule
  • Manage instructors vacations and subs
  • Payroll
  • Supervise janitorial personnel
  • Maintenance of all equipment
